Playing off the musical history of Nashville, we brought the idea of a record-inspired print piece to the team at United. They were a great partner in helping us bring this idea to life, and together we developed a promotional piece that delighted our members and got them excited to attend our annual event.
The Challenge
Going Beyond the Basics
Every year, the AAE holds an annual conference across the United States offering unmatched education, hands-on workshops, and networking opportunities for its members. Having worked with UnitedGMG for over 20 years, the AAE challenged our team of print and direct mail experts to create a promotional piece that would go beyond the basics.
The AAE’s vision was to not only provide members with details about the conference but also create excitement via a piece that would tie in the location of the conference’s host city, Nashville, Tennessee.

The Process
Ingenuity and Rich Roots
To carry out AAE’s vision, our team of print experts anchored the promotional piece on Nashville’s well-known music and entertainment scene. Nashville’s rich music roots inspired our team to create an innovative record and sleeve piece to contain all the information about the organization’s annual meeting.
Working with their designer, we married graphics and colors to match the vibe Nashville is known for. Close collaboration also allowed us to create the needed die lines for the graphics to be laid properly. Proofs were then prepared to ensure that the final design would fit when it was trimmed and folded. Once the proofs were perfected, the pieces were printed in process color with an aqueous coating to prevent scuffing during the bindery process. After printing, each piece was die cut to shape, scored to prevent cracking when folded, and then glued to make the record sleeve. Once the bindery was complete, a record was inserted into each sleeve and a wafer seal was affixed to prevent the record from sliding out.

Promotional Piece
The innovative choice of using a vinyl record as the anchor for the AAE’s annual conference invitation, created a tactile and visually interesting piece that demands attention. Unlike standard promotional invitations or mailers, the record not only stands out because of its shape and size but also highlights the best things members can expect from Nashville—the conference’s host city.
The result was exactly what the AAE was looking for—a piece that effectively promoted their member conference and created excitement.
